How Booking Changes Work for Business Travel
Move a flight and the hotel and car follow. See how booking changes work for flights, hotels and rental cars, who processes each one, and what to check first.

Your client wraps the engagement Thursday instead of Friday, so you move the flight home to Thursday night. The airline charges the fare difference, the hotel keeps the prepaid Thursday night and the rental company reprices the car for a shorter rental.
This guide explains how booking changes work for the three parts of most business trips (flight, hotel and rental car). It also covers who processes a change in each of four booking channels and a five-step order of operations to follow before you touch anything. You finish knowing where each change costs money and who to contact first.
What a Booking Change Is and How It Differs From Canceling
A booking change modifies a reservation you already hold, such as moving it to a new date or time. The booking stays yours, with new terms. Canceling is a different move, and it works two ways. If you cancel and rebook, the first reservation ends and a new one starts at whatever price and availability exist that day. If you cancel for a credit, the supplier keeps your money as value toward future travel instead of refunding it.
Each path prices differently, so the right one depends on the supplier's rules for that booking. No federal rule picks the cheaper path for you. Airlines can charge for changes such as moving a non-refundable ticket to a different date, because DOT refund rules don't require them to be free.
How a Change Works for Each Part of the Trip
Airlines, hotels and rental companies each write their own change rules, so one date move follows three different sets of terms. For each part of the trip, check what the supplier lets you change and what it charges for the change.
Flights
A flight change depends on the fare you bought. The fare decides whether you can change at all, what the change costs and what happens to any price difference. American Airlines' Basic Economy tickets, for example, generally can't be changed after the first 24 hours.
Southwest charges no change fee on its Choice fares, so you pay only the fare difference. If the new fare is lower, you get the difference back as a flight credit, or as a refund on refundable fares. Delta offers a same-day confirmed change that works only on your day of departure, and Basic tickets are excluded.
On any fare, notify the airline before departure, because Delta's no-show policy says a customer who doesn't forfeits the ticket's value. A change also can't swap the traveler. American's name change policy doesn't allow moving a ticket from one person to another, and it permits only corrections that match the traveler's government ID.
Hotels
A hotel change depends on the rate type. The rate sets your cancellation deadline and whether a change costs you the stay. A flexible rate lets you adjust close to arrival, while a prepaid rate collects payment up front and restricts changes.
IHG flexible rates allow free cancellation typically up to 24 to 48 hours before arrival, and dates are usually changeable without a fee. Prepaid rates are non-refundable, and a date change is typically restricted or carries a fee.
At Hilton, changing your stay dates may bring a new rate. Hotels set rates by availability, day of the week and length of stay, so check your confirmation for the cancellation terms before you move dates.
Rental Cars
A rental change depends on whether you prepaid. Moving the pickup or return can reprice the rental, and prepaid bookings add cancellation fees. Each company sets its own terms, so check yours before you move dates.
Under Enterprise's change rules, changing the dates or the number of days may change your daily rate. Pay-later rentals carry no cancellation fee. Prepaid rentals refund minus $50, or $100 within 24 hours of pickup, with a $100 no-show fee.
Alamo, which has the same parent company, sets a pay-later cancellation window. Canceling more than 24 hours before pickup is free, but canceling within 24 hours or never using the reservation costs $50. Pay-later gives you more room to change, as long as you check that window.
Who Processes the Change Depends on Where You Booked
The party that sold the reservation holds the record, so it processes the change, and who that is depends on where you booked. Airline, hotel and rental car rules only help once you reach that party.
- If you booked directly with the airline, hotel or rental company, you change it yourself on its website or app with your confirmation number and last name.
- If you booked a hotel or car through an online travel site, that site makes the change. Hilton and Enterprise both point you back to it. For a flight refund, contact the online travel agent before the airline.
- If a corporate booking tool or travel agency issued your ticket, the agency handles the reissue, so start with that agency.
- If an AI agent booked the trip, send the change request to that agent first, since it likely holds the booking.
A trip booked in three places can mean three separate requests. Gather every confirmation number before you contact anyone, including the itinerary number from an online travel site and the confirmation code from an agency or agent.
How to Change a Flight, Hotel and Car in Five Steps
Check the rules on every booking before you change anything, then move the flight first and let the hotel and car follow its dates.
Follow these steps in order:
- Check your travel policy for change and approval requirements, then read the fare and rate rules for every booking and note each change window. A hotel's free-cancellation window may close on a different day than the flight's.
- Check which segments depend on the one you're changing, because a missed leg can put the rest of the itinerary at risk.
- Confirm when any credit expires. An American Flight Credit is valid for 1 year from the date the ticket was issued.
- Change the flight first, because it sets the dates the hotel and car follow. Then tell the hotel and move the rental pickup before the counter treats you as a no-show.
- Write the client note last, after every change is confirmed, so it carries the final times.
Moving a flight, hotel and car in sequence usually means a few open tabs and a hold queue. Otto the Agent runs that sequence in one conversation. When a flight changes, it presents rebooking options customized to your schedule for you to approve. Travelers finish the booking directly in the same conversation they started it. Otto then checks the hotel dates on bookings it made and the rental pickup time. Otto can change all 3 reservations for you in one motion. You can raise a change in web, iOS and Android apps, and MCP-enabled experiences, plus Slack and Microsoft Teams.
When the airline controls the reservation, Otto can't make the change. It connects you to human agents at its travel partner. The case arrives with the trip details, confirmation code, what happened and what Otto already tried, so you don't explain the trip again.
Count the Hotel and Car Before You Move the Flight
A change gets expensive when the flight stands in for the whole trip. The fare difference shows up on the flight right away, while the forfeited hotel night and the repriced car surface later. If the airline changes your schedule instead, a schedule change follows different rules than a change you choose, so the same trip can need different handling.
Otto handles all three bookings in one place. It books, changes and cancels flights and rental cars, books or cancels hotels, and is free, with no contracts, no agent-assist fees and no minimum spend.
Set up Otto to handle your flight, hotel and rental car in one place when your plans shift.
Frequently Asked Questions
Can I change a booking after it's confirmed?
Usually, within the limits of the fare or rate you bought. DOT requires a 24-hour hold or refund on trips you book at least a week out, but not for tickets from online travel agencies or third parties. After that window, your ticket's fare rules decide what a change costs.
Do hotels charge to change a reservation?
New dates can cost more even when there's no change fee. The hotel prices your new dates at that day's rate. Some IHG properties allow one modification on prepaid rates within a limited window, so check your confirmation terms before the cancellation deadline.
Is it cheaper to change a booking or cancel and rebook?
The answer depends on the fare type, today's price and whether canceling turns your money into a credit instead of a refund. Credits come with an expiry date, and an American Flight Credit lasts 1 year from the ticket's issue date. Ask for both totals before you decide.
What happens to my rental car if my flight changes?
A flight change doesn't update your rental on its own. The rental company owns the dates and pickup time, so change them there, or ask the agent that booked the car. A pay-later rate keeps that change cheap, while a prepaid rental brings the fees covered above.
How can I change a flight, hotel and car without calling three companies?
If you book a trip in three places, changing it can mean three separate requests. Otto books, changes and cancels flights, rental cars, and hotels. You make requests in plain language, such as "Cancel the hotel on July 12." During flight disruptions, Otto presents rebooking options for you to approve.
